Privacy Policy

KindlyRemindly is an independent project that provides a free Telegram reminder bot (@KindlyRemindlyBot) and a marketing website at https://remindly.you. We act as the data controller for the personal data described below.

Questions about your data, or any of the rights described in this policy, can be sent to privacy@remindly.you.

When you use the Telegram bot, we receive the following from the Telegram Bot API:

• Your Telegram user ID (a numeric identifier).
• Your Telegram username, first name, and language code (only if available; used for personalization).
• The content of messages you send to the bot (text or voice).

You provide the following when creating reminders:

• Reminder text (titles, descriptions, schedule rules).
• Target dates and times.
• Your preferred timezone.

When you visit this website, our server records standard HTTP request information (IP address, user-agent, requested URL, timestamp) in access logs. The site does not use cookies, analytics scripts, or third-party trackers. A theme preference (light or dark) is stored in your browser's localStorage and never sent to our servers.

We process your data to perform the service you asked for: creating, scheduling, sending, and managing your reminders. The legal basis is the performance of a contract (GDPR Article 6(1)(b); LGPD Article 7, V; FZ-152 Article 6, paragraph 5).

We do not use your data for advertising, profiling, or any purpose unrelated to delivering the reminder service.

All data is stored on servers located in the Netherlands (European Union). Data in transit is protected with TLS encryption. Data at rest is held on encrypted volumes.

We do not transfer your data outside the EU except as needed to deliver messages through the Telegram platform (see Section 5).

To operate the bot, we share data with the following processors:

• Telegram (Telegram FZ-LLC) — to deliver messages and receive your input. Telegram has its own privacy policy at https://telegram.org/privacy.
• An AI provider for voice-message transcription and natural-language understanding of reminder requests. Voice audio and message text are transmitted for processing and are not retained by the provider beyond the duration of the request.

We do not sell your data to anyone. We do not share data with advertisers, data brokers, or analytics platforms.

We keep your data only as long as needed to provide the service:

• Active reminders and account data: kept while your account is active.
• Voice audio: deleted within 24 hours of transcription. Only the resulting text is retained as part of your reminder.
• Inactive accounts (no interaction with the bot for 12 consecutive months): automatically and permanently deleted, including all associated reminders.
• Server access logs: kept for 30 days, then automatically deleted.
• Backups: rotated and overwritten within 30 days.

You can request immediate deletion of your account and all associated data at any time — see Section 7.

Under GDPR, LGPD, and FZ-152 you have the following rights regarding your personal data:

• Right of access — request a copy of the data we hold about you.
• Right of rectification — request correction of inaccurate data.
• Right of erasure — request deletion of your account and reminders ("right to be forgotten").
• Right of portability — receive your data in a machine-readable format.
• Right to restrict processing.
• Right to object to processing.
• Right to lodge a complaint with a data protection authority in your country.

To exercise any of these rights, send an email to privacy@remindly.you with your Telegram username or user ID and a description of your request. We will respond within 30 days.

KindlyRemindly is not directed at children under 13 (or under 16 in jurisdictions where that is the GDPR threshold). If you are a parent or guardian and believe a child has provided us with personal data, contact us and we will delete it.

We may update this policy from time to time. The "Last updated" date at the top reflects the current version. Material changes will be announced via a message from the bot.
